Using Quick Replies

Quick replies allow you to save commonly used messages so you can easily send them to clients via text message or web chat as needed.

  • Quick replies can be sent as is (i.e. canned responses), or you can use quick replies as snippets or templates that are part of longer, customized responses.

  • Quick replies can be helpful if you frequently receive the same questions from clients, as they eliminate the need to type the same response every time. Quick replies are saved and shared with all staff members who have access to client conversations, allowing staff to boost collaboration and create consistency when communicating with clients.

To create and send quick replies, you must be an Admin user, or you must have the following permissions enabled in Staff Member settings:

  • Can view individual conversations: Allows you to create quick replies and view conversations for clients who are visible to you.

  • Can view all conversations: Allows you to create quick replies and view conversations for all clients via the Inbox app.

  • Can send messages: Allows you to send quick replies in conversations that are visible to you.

You can create and send quick replies from the appointment details, client details, and Inbox app, as shown below.

To create and send quick replies, select the bookmark icon, or type Cmd + B or Ctrl + B.

To create a quick reply, select Add reply. For example, you can create quick replies for things like parking instructions, product or service recommendations, and late or no-show policies.

Once you’ve created a quick reply, it will be visible to any staff member who has permission to view conversations. Quick replies can also be edited or deleted by any staff member.

To send a quick reply, select one from the list, or use the search box to search for quick replies by keyword.

Select Use response to insert the quick reply into the message. You can send the quick reply as is, or customize it before sending.

Note

You can also use the arrow keys and Enter key on your keyboard to select a quick reply from the list and insert it into the message.
