Cash Drawer Daily Closeout

If you manage your cash drawer in Mangomint, we recommend closing out (i.e. balancing) the cash drawer at the end of every day.

Closing out the cash drawer includes:

  1. Adding a new count: Allows you to count the number of bills and coins in the physical cash drawer and compare that against the expected amount.

  2. Reconciling the difference: Allows you to determine the reason for any discrepancy between the actual and expected amounts.

  3. Adding a new pay-out: Allows you to take out money from the cash drawer (e.g. bank deposit amount).

If you have multiple locations, each location's cash drawer will need to be closed out separately.

To close out the cash drawer at the end of the day, you must be an Admin user, or you must have the Can manage cash drawer permission enabled in Staff Member settings.

Adding a new count

Begin closing out the cash drawer by adding a new count. This allows you to count the number of bills and coins in the physical cash drawer and compare that amount against the expected balance. The expected balance is the amount that the physical cash drawer should have based on the previous cash drawer balance, cash payments, pay-ins, and pay-outs.

Note

If your business processes a high volume of cash transactions, we recommend using a counting machine to reduce the potential for human error.

Reconciling the difference

When adding a new count, you will be able to see if the cash drawer is even, over, or short. If it is over or short, you will need to reconcile the difference. To reconcile the difference, begin by recounting the money carefully to rule out any simple counting errors.

  • If the cash drawer is over after completing a recount, it could mean that a client was accidentally shortchanged.

  • If the cash drawer is short after completing a recount, check if any bills or coins accidentally slipped under or behind the drawer.

If the cash drawer is over or short:

  • The Cash Drawer Activity report is available and can help you track all cash drawer activity for the day, including cash payments and cash refunds.

  • Document any overages or shortages for your records, such as on a reconciliation sheet or in a logbook.

  • Frequent overages or shortages could indicate a training gap regarding calculating change. Learn how you can enable a change calculator during checkout to help with calculating change.

Adding a new pay-out

After adding a new count and recording any overages or shortages, you can add a new pay-out for the amount you are taking out from the cash drawer. You can enter either the amount you are taking out (e.g. bank deposit amount), or the amount that is staying in the drawer after the pay-out. This is useful if you have a specific amount that always stays in the drawer (i.e. a cash float).

After adding a new pay-out, if you are not depositing the money into the bank right away, make sure you keep it in a safe place until you're ready to deposit it.

Once the cash drawer is closed out for the day, you can either add a new pay-in or add a new count the next morning. This will update the current count and set the starting balance for the day.

Printing the current cash drawer count

If needed, you can print the current cash drawer count. This is helpful if you'd like a physical copy to reference while closing out the cash drawer, or if you need to keep a physical copy of the count for your records.

To print the current count, you must be an Admin user, or you must have the Can manage cash drawer permission enabled in Staff Member settings.

Open the Cash Drawer app. If you have access to multiple locations, select the correct location from the drop-down menu.

Select the current count. Select the three-dot menu and select Print.
