A guide to salon package agreements
Explore how the fine print on your salon's package sales can save you time and headaches in payment disputes.

Content Marketing Manager
Salon package sales carry a sense of commitment. The client knowingly pre-pays for multiple services, often in exchange for a discount. This straightforward arrangement can give salon and spa owners a false sense of protection against payment disputes.
Clients can still dispute a package charge, even after they’ve used some of the services. A clear salon package agreement gives you a written record of what the client bought and the terms they accepted. That record is useful to have on hand if a client questions a charge.
The five sections below walk through what to put in yours. Preview and download our template here, and fill it out as you go.
The importance of salon package agreements
If you’ve dealt with a payment dispute, you know what it can cost a small business in lost income and wasted product. With a package, the client may have already redeemed several services before filing, so more of your work is on the line.
Among hair salon businesses using Mangomint, 44% offered at least one package . If package sales are part of your business too, a written agreement is a practical way to set expectations before the first appointment.
Extra paperwork can feel like it slows down the sale. Still, Mangomint’s payment disputes guide lists signed service agreements and contracts among the documents you can gather when you respond to a dispute.
Keep clear records of each package sale, and ask a local attorney if you’re unsure what your agreement should cover. You can also view membership agreement templates and insights here.

1) What is included in the package?
Start with the package itself: which services and products it includes, and how many of each. The more specific you are, the less room there is for confusion later.
For example, instead of saying “12 laser hair removal treatments,” say something like, “12 laser hair removal treatments for one (1) small treatment area. Our small treatment areas are limited to the underarms or the chin and lip.” Apply this same level of specificity to each of your package tiers and options.

Next, spell out what the package doesn’t cover and any disclaimers clients should know about. Depending on your services, you may want to:
Name any limits, such as packages that only apply to certain providers or appointment types.
Explain any upgrade fees, such as “Credits can be redeemed for any standard massage, and hot stone massages are an extra $15 at checkout.”
Include any standard medical disclaimers, such as “These services do not replace professional medical care, and treatments may expose you to allergens or irritants.”
Add a results disclaimer, such as “Lash lift results depend on your natural lashes and aftercare, and no results are guaranteed.”
Restate your cancellation policy and how it applies to package appointments.
Among hair salon businesses in Mangomint’s benchmark, 74% had a cutoff window set for how close to an appointment clients can cancel on their own. If you use a cutoff like this, say in the agreement whether a late cancellation uses up a package credit. Our salon cancellation policy guide has examples to work from.
3) Payment expectations
Payments for certain packages may come with questions from your clients. Try to anticipate these questions and include the answers in your agreement, such as:
How much does the package cost?
Are taxes and fees included in this price?
What are your tipping policies or expectations for clients when redeeming a package appointment?
Will you require an active card saved on file?
Before you finalize these answers, check your local requirements, especially for taxes.

Set how long clients have to use the services in the package, and put that time frame in the agreement.
Before you choose an expiration date, check whether your package could count as a gift certificate under federal rules. Regulation E (12 CFR 1005.20) carries out the CARD Act’s gift card rules. It says funds on a covered gift certificate or store gift card can’t expire sooner than five years after it was issued or last loaded.
Whether a package is covered depends on how it’s sold:
The CFPB’s official interpretation of the rule says a card or code for a specific service, such as a spa treatment, generally isn’t covered.
The same interpretation says a card that states a dollar value, such as “a $50 value,” is covered unless an exclusion applies.
Based on that distinction, consider naming and selling packages by the services they include, such as “5 Kids’ Cuts.” A name like “$50 Kids’ School Cut Pass” states a dollar value instead. Adding the time frame to the name, as in “5 Kids’ Cuts for the 2026–27 School Year,” may also help clients remember it.
State laws may add their own requirements, so have a lawyer in your area review your agreement before you use it.
Include your salon’s side of the arrangement too, such as when package appointments are available and how far ahead clients should book. That way, both sides know what to expect if a client runs short on time. For example:
“Package appointments will be made available during our normal business hours. Certain appointment days and times cannot be guaranteed with less than two weeks’ notice. However, [BUSINESS NAME] will make reasonable efforts to accommodate your preferred appointment day and time with more than two weeks’ notice. It is the client’s responsibility to schedule these appointments in advance to redeem all credits within the package window.”
5) Refund and transfer policy
Even if you treat package sales as final, clients may still ask for refunds, especially once they’ve used part of a package. Common ways to handle these requests include:
A strict no-refund policy
A partial refund to the original payment method, based on how many services have been redeemed
A partial refund to a gift card for your business
A transfer of the remaining services to a friend or family member
An extension of the redemption window for a client who moves away but still visits town
An exchange of remaining services for services of equal or lesser value, which can help clients who can’t use certain credits for medical reasons
If you offer an extension, set a limit in the agreement. For example, “If the client cannot redeem the package within the window provided, [BUSINESS] may extend this period by no more than six (6) months.”
Whichever policy you choose, state it clearly in your agreement and go over it with the client at the time of sale.
How to collect a signed salon package agreement
An agreement does the most good when clients see it before they buy. In Mangomint, you can add an agreement to each package and require clients to sign it before buying online. After checkout, clients get a link to download their signed copy, and you can view or print signed agreements from the Packages app.
For in-person sales, you can build a form with a signature field using Mangomint’s integrated forms feature and share it with the client by link. Completed forms save to the client’s profile.

Frequently Asked Questions
What should a salon package agreement include?
Cover these five areas:
The services and products in the package
Exclusions and disclaimers
Payment terms
The redemption period
Your refund and transfer policy
Can a salon package have an expiration date?
It can, but Regulation E sets a five-year minimum before funds on covered gift certificates and store gift cards can expire. The CFPB’s interpretation says items for a specific service generally aren’t covered, while items stating a dollar value are, unless an exclusion applies. State laws can add their own requirements, so have a local lawyer review your expiration terms.
How should I handle refund requests for a partially used package?
Decide on your policy before you sell the package, and put it in the agreement. Options include a partial refund based on the services already used or a transfer of the remaining services to someone else.
How do clients sign a package agreement in Mangomint?
When you set up a package in Mangomint, you can require clients to sign an agreement before they buy the package online. After checkout, they get a link to download their signed copy. For in-person sales, you can share a form with a signature field by link.
Should a lawyer review my salon package agreement?
Yes. Laws that affect expiration dates and refunds can vary by state. A lawyer in your area can confirm your terms fit local law before you start using the template.
